Hosting an Event? Have a Notice / Announcement for the Faculty of Medicine Community? Get the Word Out!

Faculty of Medicine poster cabinets, the Med News Digest newsletter, the Faculty of Medicine website and the Electronic Bulletin Board (EBB) system are maintained by the Faculty of Medicine’s Department of Communications and Media Relations. All content submitted for posting to any and all of these vehicles must demonstrate an appropriate affiliation with the Faculty of Medicine and/or the University of Calgary. Personal notices, external advertising, and private events will not be posted.


Electronic Bulletin Boards

The EBB system is administered by the Faculty of Medicine's Department of Communications and Media Relations, and works essentially as an electronic slideshow. Currently there are four screens, located: HSC entrance (by the information desk), Hippocrates statue, On the Go, and the HRIC atrium.

Pre-designed Slide Submissions
We welcome pre-designed slide submissions. Please ensure they are configured to the specifications outlined below to avoid revisions and to ensure they display properly.

  • Slides must be submitted as JPEG documents.
  • The EBB system displays horizontally, not vertically; pre-designed files must be sized to a width of 1122 pixels and a height of 609 pixels, at a resolution of 72 dpi.
  • Text should be kept to a minimum; try to include what, when, where and a website address or contact person for more information. All fonts should be readable from a distance – a 40 pt font is a good standard.
  • Note: If including a Faculty of Medicine logo on your slide, please use a current version. Logos are available here: medicine.ucalgary.ca/communications/identity

Once you have created your slide, please email the JPEG file to aedowd@ucalgary.ca.

Plain Text Submissions
For those who are unable to provide a pre-designed slide, details of your event or announcement will be posted to the EBB system using a standard event/announcement template. To make a submission, please email aedowd@ucalgary.ca with the following information:

  • Event name, date, time and location of the event
  • Short description of the event (description may be edited for space)
  • Suggested time period for display (may be revised as required)
    OR
  • Information to be announced
  • Short description for why you would like this information to be announced
  • Date of announcement (if applicable)
  • Suggested time period for display (may be revised as required)

Poster Cabinets and Traditional Bulletin Boards

The Department of Communications and Media currently administers seven poster cabinets, located throughout the Foothills Campus. If you have an event poster and would like it displayed, please review the guidelines and policies below.

  • Posters must not exceed a size of 11x17 (inches).
  • Poster cabinets are intended for Faculty of Medicine events/seminars/lectures, not general advertisments. See below for more.
  • Posters will be placed on the bulletin boards on Thursdays and Mondays, pending approval.
  • Posters should be sent/delivered to the Faculty of Medicine's Department of Communications and Media Relations, 7th Floor, TRW building or emailed to medevent@ucalgary.ca.
  • Note: If including a Faculty of Medicine logo on your slide, please use a current version. Logos are available here: medicine.ucalgary.ca/communications/identity

There are numerous bulletin boards located throughout the Foothills Campus, including a general one designated for community annoucements/advertisements ie. accommodation for rent, books for sale, etc. administered by the Security / Information Desk in Health Sciences. Submissions will be collected (at the Information Desk), date stamped and posted for a period of up to one month. Faculty, staff and students are reminded that posters, flyers, etc. are not permitted on wall, doors, pillars, windows, etc. throughout the Foothills Campus. Notices must be affixed to a bulletin board or displayed via a poster cabinet. Emergency notices are the exception.


Faculty of Medicine Website

To add an event to the Faculty of Medicine website's online calendar:

  • Go to the following web address: http://medicine.ucalgary.ca/login
  • Enter your University of Calgary IT username and password; the same as you would use to access your webmail.
  • You will see a new menu on the left side of the screen. Click on Create Content, select Event.
  • Enter the date, time, and any details pertaining to your event; when you have finished, click Submit.

Faculty of Medicine Staff and Faculty Intranet

The intranet is the faculty's internal portal for staff and faculty members and can be accessed here: https://intranet.med.ucalgary.ca/. A Med Domain account is required to access the intranet, i.e. med\john.smith. Request a Med Domain account. To add an event to the Faculty of Medicine staff and faculty intranet:

  • Each main section/division of the intranet, has its own calendar of events (ie. Faculty of Medicine calendar, education calendar, research calendar, service to society/clinical affairs calendar, administration calendar).
  • Choose which division you would like to have your event posted to, and go to that site on the intranet (for example, if you would like your event posted in the research calendar, go to the research site on the intranet).
  • The site contact is listed at the bottom right of the screen. Click on the name and send an email to that person with the name, date, time, location and a brief description of your event. They will post this event for you on the intranet.

Med News Digest

The Med News Digest is an email newsletter sent to all Faculty of Medicine students, staff and faculty every Tuesday and Thursday. To add an event to the Med News Digest newsletter:

  • Send an email to aedowd@ucalgary.ca citing the information you just posted to the website/intranet or include the website/intranet URL of your event. Be sure to also include the date you would like the event to be advertised in News Digest. Only one date per email message, please.
